1. Getting Out of the Technician Mindset
Many MSPs start because the founder is great at tech. But scaling a business takes more than fixing tickets. A breakthrough moment often comes when an owner realizes they need to let go of some technical responsibilities and start thinking like a business leader. This can be a difficult transition, especially when you're used to being the go-to person for solving client issues.
MSPs who make this shift say that once they step back from daily service work, they can finally focus on areas like financials, strategy, marketing and leadership. It’s not about walking away from tech. It’s about shifting your focus from doing the work to building the business.
2. Hiring for Operations, Even When It Feels Risky
One of the most common breakthroughs we’ve heard is hiring for an operations or admin role, especially when it feels financially risky. Many MSPs operate lean for years, with the owner juggling sales, service, quoting, contracts and escalations. But eventually, that plate gets too full.
One guest shared that bringing on an operations manager felt like a leap since it wasn’t a revenue-generating role. But it ended up unlocking more time, reducing chaos and bringing structure to the business. Things like MSA templates, quoting systems and project workflows were finally formalized. That structure created space for growth. It’s a powerful reminder that not all ROI is immediate, but it’s often necessary.
3. Standardizing the Stack and the Process
A surprising number of MSPs we speak with admit that early on, they didn’t have much consistency between clients. Different AV tools, backup platforms, documentation approaches and support models made everything more complicated. The turning point came when they committed to a standardized stack and built repeatable processes around it.
This isn't just about tech. It’s about creating a more scalable, supportable and profitable business. With a common toolset and unified documentation, teams can work faster, onboard clients more easily and deliver a consistent customer experience. MSPs who embrace this shift often see efficiency skyrocket and team morale improve because they’re not constantly reinventing the wheel.
4. Investing in Sales (Even if You're Not a “Salesperson”)
For many MSP owners, sales isn’t a natural strength. That’s okay. Several podcast guests shared that a real breakthrough came when they stopped hoping referrals would roll in and started treating sales as a discipline. This didn’t always mean hiring a full sales team. In some cases, it meant building basic CRM workflows, setting follow-up reminders or carving out dedicated time for prospecting.
One MSP said their growth doubled in a year simply because they created a consistent process for re-engaging old leads. It wasn't flashy, but it worked. The big lesson here is that you don’t need to be slick. You just need to be consistent.
5. Letting Go of Legacy Clients That Don’t Fit
It’s hard to walk away from long-time clients, especially those who’ve been with you from the beginning. But some of the most honest and eye-opening conversations we’ve had were with MSPs who said their growth didn’t really take off until they let go of clients who were underpaying, over-demanding or simply no longer aligned with their vision.
Letting go of the wrong clients freed up bandwidth, reduced stress and allowed them to focus on higher-value relationships. More importantly, it positioned them to grow with clients that matched their updated process, pricing and culture.

Breakthroughs don’t always come from big moves. More often, they come from thoughtful, intentional decisions that help you reclaim time, reduce friction or gain clarity. Whether it’s stepping away from daily tech work, hiring that one key person or rethinking who you serve, the MSPs who take action on their business, not just in it, are the ones who create space to grow.
